Getting Organized
Wednesday, April 21, 2010 at 02:32PM Working with various clients, I realize how hard it is for people to get their financial information and office organized. What comes easily for me doesn't necessarily come easy for others. Years of color coding and purchasing filing systems, etc has always been second nature to me. I can honestly say that my daughter is quite the organizer too.
I can't say enough about having a Financial Software package. No one should try to keep their information manually in this day and age, and yet there are still many who have not ventured there. Even if you only use the very basics of the software, it will give you information necessary to run your busine
ss and make it easier to accomplish doing your taxes by April 15. Hiring someone to teach you the basics is much cheaper than paying your CPA to put it all together at year end.
Another area is a good filing system which can keep things organized by categories and month. I use a series of binders for most of my financial information and drawer files for other things. Don't forget a system for 'to do' items in the future. This can be accomplished by keeping a dated file- 1-31 and moving the item as you work on it, until the job is complete. Of course, you need to look in the file everyday!
Some people think out of sight, out of mind. I once saw a desk with approximately 25 post it notes all over, and I have to say quite honestly, I used to have at least five to ten of those at any one time on my own desk. I got tired of shuffling these around and decided to do something about it! I moved to a 'computer desktop' post it note system. There is a free one from Crawler.com, or you can purchase the original 'Post It Notes" for a one time amount of around $20. It is well worth it- my desk no longer has tiny notes over it that tend to disappear. When I get an email from a client with an urgent request I copy and paste right into the desktop post it note- and I see it there until I accomplish the item. You can make them different colors, sizes, fonts, etc.. What fun!

You should try using software to do all your book keeping online, there's loads of free software out there for you to use
